Functie omschrijving

As an International Secretary Marketing & Sales you are the personal assistant to the VP MEAR (Emerging Markets) Sales. In this role you:
• Manage VPs Agenda/Calendar;
• Receive guests;
• Set up internal/external conference calls, participate and support in actions plan;
• Organize and book his trips using the dedicated tools and following the company processes (arrange Visa when necessary);
• Handle incoming and outgoing posts/couriers/telephone calls;
• Are the point of contact (together with PM Assistant) for various questions regarding office everyday operation, equipment problems etc.
• Arrange Internal & External Meetings (Team or Customer): book meeting rooms (in the office or in hotels), set-up the meeting room, arrange catering, distribute Invitation and Agenda, inform Reception+Security (if internal), welcome guests.
• Work with VP and CM to form the Agenda, send invitations, collect attendance confirmations. Inform the team on specific presentation expectations.
• Arrange Internal/External Newsletter: Collect, consolidate and provide to CM on a quarterly basis Team News that can be included in the Internal Newsletter ;
• Fill Expense Reports (through PS Financials) and liaise with Accounting; review calls with Finance and VP;
• Prepare presentation material for Monthly Management Meeting (MMM) and Leadership Meeting (LT);
• Communicate to the team the relevant process and forms. Collect the SPINs on a regular basis (Monthly), check that the necessary supporting documents are included;
• Organize internal / external trainings. Co-ordinate with HR and Trainer. Insert the training in the system;
• Train new employees (create training material), Reset Passwords, Create Accounts, Answer in How-to-Questions, help in the implementation of new processes, communicate changes and developments.

Functie eisen

If you want to be considered for this position you:

• Have a MBO+/HBO level;
• Have 3-5 years experience in a similar position;
• Have excellent verbal and writing skills in English; Greec is a plus.
